MagLab / Case studies / Restaurant chain

The whole business on one screen

Data and analytics. It grew into our product Kvasir

A restaurant chain's money lived in five systems and a pile of spreadsheets, and the owner couldn't see where it went. We tied it all into one system, then turned it into our own product, Kvasir.

Kvasir on a computer: profit, food cost, guests and turnover for the month, sales and profit by channel
Kvasir on a phone: turnover and profit over 12 months, food cost
Demo restaurant Bistro Primer, made-up numbers

Problem

Five systems and no clear picture.

  • Sales in the POS, invoices in the e-invoice system, payments in the banks, delivery in Wolt, costs in spreadsheets.
  • Closing the month took days, and no one could say what each location really earned.

What we did

One system that does it every night.

  • Every night we pull the POS, banks, e-invoices, the owner's spreadsheets and Wolt into one model.
  • We build the P&L by the owner's rules and match invoices to payments.
  • Any number opens down to the invoice, and every morning the owner gets a summary with alerts.
  • It grew into Kvasir: one login, every company in its own database.

What changed

  • 99.99% of bank payments are matched to supplier invoices.
  • Already in the assessment we found an invoice paid twice and delivery ads that brought ten times more in one location than in the other.
  • The data shows in which month the second location paid off.

Built with

  • PostgreSQL

Also: the POS, banks, e-invoices, Google Sheets, Wolt and Telegram.
